Key Responsibilities:
The successful candidate’s responsibilities will include, but not be limited to:
1) Marketing process & paperwork (owner)
- Handle daily admin work to keep Marketing activities running smoothly.
- Own and standardize internal/external working processes related to Marketing; guide team members, audit compliance, and follow through until completed.
2) Vendor contracts & documentation
- Draft/review and manage external documents and contracts end-to-end:
- Collect vendor profiles/documents; verify key contract info (tax code, legal representative/authorization, scope, timeline, payment terms, required payment documents, IP/image usage clauses as applicable).
- Submit for approvals (e-contract / Dept Head approvals), upload and track on internal systems when required, and manage signing/stamping process.
- Maintain a clear contract tracker and monitor ongoing contracts/renewal milestones.
3) Finance & payment processing
- Prepare and track payment requests (online/offline), obtain required signatures/approvals, and follow through until completion.
- Submit payment dossiers (soft copy + hard copy), scan/store documents, upload to internal system, coordinate invoice handling with Accounting, and respond to Accounting questions on payment sets.
- Track budget usage to support budget control (daily/monthly tracking; cashflow/accrual/proposal tracking).
- Organize and secure marketing data/information systematically for management use.
4) Merchandise/POSM & printing production (procurement + delivery)
- Coordinate with vendors/3rd parties to produce and deliver POSM/merchandise after final designs are approved; ensure timelines are met.
- Support purchase requests, confirm print files/samples, and coordinate shipping bookings to centers.
5) Inventory management
- Track inventory in/out and coordinate daily tracking files with Finance & Center Admin to ensure all usage movements are recorded properly.
- Manage gift transfers between centers, track gifting/receiving lists, and maintain sponsorship confirmation documentation when needed.
6) Others
- Coordinate with third parties for social group seeding and brand campaigns (as assigned).
- Admin support: team transportation tracking; team bonding support.
- Handle ad-hoc tasks assigned by line manager.
Requirements
- Bachelor degree is a must. Marketing major is an advantage.
- 2-3 years of experience in administration and data reporting.
- Good working attitude and positive thinking.
- Proactive and “can-do” attitude.
- Good at English Communication.
- Proficiency in MS Office.
